At all times, we’ll respect any personal information you share with us or that we collect about you, and we will keep it safe.

This website privacy notice sets out the data processing practices we follow when you interact with us on our website: www.talking-talent.com. And it includes your rights and options around how we use your personal information.

When we collect and process your data, we’re regulated under the General Data Protection Regulation. This applies across the European Union (and its equivalent legislation in the United Kingdom). In this privacy notice, we’ll refer to it as the “GDPR”. For the purposes of those laws, we’re responsible as ‘controller’ of that personal information.

How we collect personal information about you on this website

Enquiry, download, and sign-up forms

We use HubSpot to power all forms seen on our site. We use data captured through HubSpot forms to contact you in response to your enquiry.

We also link to Zoom forms to capture and manage registrations for events. We store a backup of your data in the HubSpot and Zoom databases. This is automatically deleted if you have not opted in, and following our response to your initial request.

If you opt in, we will process and store your data in our CRMs, HubSpot and Salesforce. This ensures we can respond to your request or need. Only authorised individuals can access your data, and it will not be disclosed to third parties. If you’d like us to remove your data at any point, please email ttdataprotection@talking-talent.com.

HotJar Analytics

HotJar is a web analysis service provided by HotJar Limited. (“HotJar”).

We use Hotjar in order to better understand our users’ needs and to optimize this service and experience.

Hotjar is a technology service that helps us better understand our users’ experience (e.g. how much time they spend on which pages, which links they choose to click, what users do and don’t like, etc.) and this enables us to build and maintain our service with user feedback.

Hotjar uses cookies and other technologies to collect data on our users’ behavior and their devices. This includes a device’s IP address (processed during your session and stored in a de-identified form), device screen size, device type (unique device identifiers), browser information, geographic location (country only), and the preferred language used to display our website.

Hotjar stores this information on our behalf in a pseudonymized user profile. Hotjar is contractually forbidden to sell any of the data collected on our behalf.

Google Analytics

Google Analytics is a web analysis service provided by Google Inc. (“Google”).

We use this service on our website to collect standard internet log information and details of visitor behaviour patterns. We do this to make sure it’s meeting our users’ needs, and to understand how we could do better.

Google Analytics stores information about:

  • What pages you visit.
  • How long you are on the site.
  • How you got here.
  • What you click on.

This information is processed in a way that does not identify anyone. And we do not attempt to find out the identities of people visiting our website.

Google uses the data it collects to track and examine the use of this website, to prepare reports on its activities and share them with other Google services. Google may use the data collected to contextualise and personalise the ads of its own advertising network.

Cookies

Cookies are small data files that are placed on your computer as you browse our website. Most websites do this.

They improve things by:

  • remembering information you’ve given (like your email) so you don’t need to keep entering it.

The personal information we process

We may collect, store, and otherwise process the following kinds of personal information:

  • Your name and contact details, including email, telephone number, and, where applicable, social media identity.
  • Employment information such as job title, employer name, company size and office location.
  • Information about your professional background to help us understand your potential interest in our services.
  • Information on how you heard about Talking Talent to let us proactively understand where visitors are coming from.
  • Information about your computer/mobile device and your visits to and use of this website, including, for example, your IP address and geographical location.

The General Data Protection Regulation (“GDPR”) recognises certain categories of personal information as sensitive, which therefore requires more protection. For example, information about your health, ethnicity, and political opinions.

We do not collect special categories of data through our website.

How we use your personal information

When you provide any personal information through our website, we’ll only use it for the purpose specified on the page.

In particular, we may use your personal information to:

  • provide further information about our work, services, events, activities or relevant content (where necessary, and only if you’ve provided your consent to receive this information).
  • answer your questions or requests, and communicate with you in general.
  • analyse and improve our work, services, activities, products or information (including our website).
  • report on the impact and effectiveness of our marketing.
  • run/administer our website, keep the website safe and secure, and ensure that content is presented in the most effective manner for you and for your device.

How long we keep your personal information

In general, we’ll remove your personal information from our records five years after the date it was collected, or after a significant period of inactivity. The exception to this is if we still require your personal information in connection with the purpose/s we collected and/or processed it for.

Before that date, we’ll remove your personal information from our records at the relevant time if:

  • your personal information is no longer required in connection with any purpose/s.
  • we aren’t lawfully entitled to process it.
  • you exercise your right of erasure.

If you request to receive no further contact from us, we’ll keep some basic information about you on our suppression list. This makes sure we avoid sending you any unwanted materials in the future.

Lawful bases

The GDPR requires us to rely on one or more lawful bases to process your personal information.

We consider these grounds to be relevant:

  • Where you have provided your consent for us to use your personal information in a certain way (for example, receiving the Talking Talent newsletter, or being invited to an event).
  • Where there is a ‘legitimate interest’ in us doing so.

Legitimate interests

The GDPR allows us to collect and process your personal information if it is reasonably necessary to achieve our or others’ legitimate interests. As long as that processing is fair, balanced, and does not unduly impact your rights.

In broad terms, our ‘legitimate interests’ means the interests of running Talking Talent as a specialist coaching consultancy enabling business to build more inclusive cultures. For example, providing information about our services, responding to queries, sending invites to events, and sharing though-leadership content.

When we process your personal information to achieve such legitimate interests, we consider and balance any potential impact on you (both positive and negative), and your rights under data protection laws.

We will not use your personal information for activities where our interests are overridden by the impact on you, for example where use would be excessively intrusive (unless, for instance, we are otherwise required or permitted to by law).

The information we share

We may share your personal information with our third-party suppliers when they process personal information on our behalf to perform our business operations.

These include:

  • Dot.Digital (Marketing automation platform)
  • Salesforce (CRM)
  • Zoom (Webinar platform)

Keeping your personal information secure

We have appropriate security measures in place to prevent personal information from being accidentally lost, or used/accessed in an unauthorised way.

We limit access to your personal information. Only those with a genuine business need are granted access. Those processing your information do so only in an authorised manner and are subject to a duty of confidentiality.

We also have procedures in place to deal with any suspected data security breaches. We will notify you and any applicable regulator of a suspected data security breach, where we are legally required to do so.

Your rights

Where we rely on your consent to use your personal information, you have the right to withdraw that consent at any time.

This includes the right to ask us to stop using your personal information for marketing purposes. You can do this at any time by emailing ttdataprotection@talking-talent.com or unsubscribing from any communications using the link at the bottom of the email.

You also have the following rights:

  • Fair processing of information and transparency over how we use your use personal information.
  • Access to your personal information and to certain other supplementary information.
  • Require us to correct any mistakes in your information which we hold.
  • Require the erasure of personal information concerning you in certain situations.
  • Receive the personal information concerning you which you have provided to us, in a structured, commonly used, and machine-readable format, and have the right to transmit those data to a third party in certain situations.
  • Object at any time to processing of personal information concerning you for direct marketing.
  • Object to decisions being taken by automated means which produce legal effects concerning you, or similarly significantly affect you.
  • Object in certain other situations to our continued processing of your personal information.
  • Otherwise restrict our processing of your personal information in certain circumstances.
